JOB SUMMARY:

Perform administrative and office support activities for multiple divisions, including Doble, Aclara and ETS Lindgrin staff.


Essential Job Functions

• Route telephone calls
• Edit and format documents
• Manage mailings to clients
• Direct faxes, and manage the fax log
• Sort and distribute incoming mail
• Handle confidential information according to established policy and procedure
• Prepare and mailing potential client proposals
• Manage the importation of new and used Doble equipment from our factories in USA, Norway and Germany
• Manage the exportation of instruments needing repairs at our factories in USA, Norway and Germany
• Manage invoicing of sales, repairs and calibrations of our instruments
• Manage the inventory of demo equipment
• Enter and track employee trips on the Doble travel calendar
• Manage Client Service training evaluation process from start to finish
• Handle training requisitions for Engineers and assigning e-numbers to jobs
• Act as back-up to the receptionist and cover reception duties as assigned, including fielding telephone calls and receiving and directing visitors.
• Type, fax and copy duties as assigned
• Organize and maintaining filing
• Provide information and assistance to clients in a courteous, professional manner
• Assist in the planning of technical and commercial events in the territory
• Assist in building agendas for meetings and organizing and creating supporting documents for said meetings
• Responsible for setting up and forwarding calls to “after hours” emergency telephone
• Related duties as assigned

A. EDUCATION:

Level of Education : Some College


May additional equivalent experience above the required minimum substitute for the checked level of education?      High level admin experience in a company with a US parent company


B. EXPERIENCE - 3-5 years of experience


C. KNOWLEDGE, SKILLS, AND ABILITIES-
• Experience in Microsoft Office, particularly Microsoft Word, Excel and PowerPoint
• Experience as an administrative assistant
• Ability to effectively communicate, both orally and written, to various levels of the Doble organization and suppliers
• Ability to accurately perform difficult typing/word processing duties
• Ability to carry out instructions furnished in written or oral form
• Possess a strong customer service orientation
• Strong organizational skills
• Ability to operate office equipment including copiers, facsimile machines, computers and scanners; inputting and retrieving data and text
• Overtime may be required
